There are various calculations used in the Budgets module.


The formulas for these are explained below:


Menu cost per bed per day (CPBPD) = 

  • This is based off the recipe costs in the chosen menu.  
  • The calculation assumes the most expensive item per meal or course is selected, and all meals and courses are consumed everyday:


Budget Duration = 

  • The total number of days in your budget, including the start date and end date.


Estimated Forecast = 

  • Best estimate on what your budget will cost, in total, for the budget duration.


Number of Residents = 

  • The number of Residents you are factoring into your budget cost.  This may be less than the total number of Residents in your site, depending on the type of budget you are calculating.


Forecast cost per bed (resident) per day =

  • this is an auto-calculated value
  • the formula is [Forecast amount / budget days / resident numbers]
  • Example: 3000 / 30 days / 30 residents = $3.33 per resident per day.



Forecast Cost per Day = 

  • this is an auto-calculated value
  • the formula is [Estimated Forecast / Budget duration days]

  • Example: 3000 / 30 days] = $100 per day.


Actual cost per Resident per day (for current month) = 

  • the formula is [sum of total expenses per month / number of days in current month / number of residents]
  • Example: $1, 540 total expenses for June / 30 days / 30 = $1.71 cost per Resident per day for June:




Operating Surplus / Deficit =

  • the formula is [sum of Forecast cost per day column - sum of total expenses per month]
  • if this number is positive, it is displayed in black font
  • if this number is negative, it is displayed in red font
  • Example: $3,000 - $1,540 = 1,460.
