• To manage Rooms and Beds you will require Facility Management in your SoupedUp role for access or refer to your Administrator for SoupedUp as required.
  • Room Management is where you can create, edit or delete Rooms. 
  • Once Rooms are created, you have the ability to add Beds.
  • Beds must be created before you can add Residents.  
  • Deleting a Room will delete all beds associated with that Room.


To access Room Management:

  1. Click on Catering
  2. Select My Site
  3. Click Rooms

To Create a Room:

  1. Click the +Create Room button in the top right corner of the screen.
  2. Under the Create New Room heading, Select a Wing.
  3. Select a Sub-Wing (if relevant).
  4. Enter a Room Name.
  5. Enter a Room Description (optional).
  6. Enter a Number of Bed(s).

Beds:

  1. When adding a Room, the default Number of Beds is 1.
  2. A default Name (A), Description (A) will show under the Beds heading.
  3. These fields will update automatically as the Number of Bed(s) is changed:
  4. The default Name and Description can be manually changed to suit your Site.
  5. A default Occupancy (1) will also show for each bed.  
    This can be increased (to a maximum of 2) by clicking into the field box:
  6. If you are adding more beds to the same Wing, click the Save and Add Another button.  Otherwise, just click Save.

To Edit or Delete Rooms and Beds:


When in Room Management, changes to Rooms and Beds can be made using the Edit and Delete Buttons in the Actions column for your chosen Room.  Rooms can also be filtered by Wing to make a search easier, or sort rooms by number as well as by room name.


To Edit a Room or Bed:

  1. Click on the Edit icon in the Actions column for your chosen Room.
  2. The Edit Room pop up will appear.  Make any changes to the Room Name and Room Description, as required.
  3. If you need to make changes to the Beds, click the Manage Beds button, otherwise click Save.
  4. If you have clicked Manage Beds, you will be directed to the Manage Beds screen for your selected room, where you can create new beds, or edit and delete existing beds for that room. Don't forget to click Save.

To Delete a Room:

  1. Click on the Delete button in the Actions column for your chosen Room.
  2. You will see the Delete Room pop up appear, asking 'Are you sure you want to delete this room and all the bed(s) associated with it?  If you are sure, click Delete.
  3. Please note: you cannot delete a room if it has been assigned to a Resident.  In this case, you will see the following error message:

    Once your Rooms and Beds are set up, move on to creating your Dining Rooms.
