Shopping List allows generation of an ingredient list based on the recipes within your menu. It will calculate the exact quantities of ingredients needed for the number of meals ordered. This can be generated by 3 different methods: 

  1. Ordering (from completed Order Forms)
  2. Serve Based 
  3. Percentage 


To access Shopping List:

  1. Select Catering from the side nav.
  2. Click on Kitchen.
  3. Select Shopping List:


Shopping List also provides a breakdown of Total Residents across:

  1. General Residents (G)
  2. Additional Services Residents (AS)
  3. Dementia Residents (D)


Ordering: 

To generate your Ordering Shopping List:

  • Ensure all Resident orders have been entered in the relevant Resident Menu Selection Form
  • Access Shopping List by following the steps above.
  • Under the Menu Selection heading, select your chosen menu from the drop-down menu. If your chosen menu has Continental Breakfast included, a coffee cup icon will appear to the right of the menu name (circled blue in the screenshot below):
  • Ensure 'Ordering' is the method selected.
  • Enter a Start Date and End Date.
  • Click Load Details.
  • If you have selected a menu with Continental Breakfast included, a Confirmation pop-up will display, 'Do you wish to load Breakfast Continental Ingredient details from resident form?' Click Yes or No, as required:
  • A Meal Order summary will display, showing Daily Quantities for each of the Menu Choices (Choice One, Choice Two etc) as well as ticks to indicate the Type of Residents that have ordered (G,AS,D).  You can use this as a quick check that all orders have been taken, before generating the Shopping List:
  • Click Display Shopping List
  •  The Shopping List will display with Ingredients in their Groups.  The No Recipe tab will show any ingredients which are not linked to a recipe, such as Menu Items. 
  • Click on the drop-down arrows to see the underlying ingredients in any Ingredient Group heading:
  • Click Generate Report (example below includes Continental breakfast) or Export to CSV, as required.
     

Serve Based: 

Generating a Shopping List using Serve Based allows for a Shopping List to be created before orders have been taken.

Serve Based requires the User to enter an amount (which may be an estimate) of how many Residents will order each Menu Choice. A percentage for error (Buffer) can also be selected, providing peace of mind that enough ingredients will be ordered.


To generate your Serve Based Shopping List:

  • Access Shopping List by following the steps above.
  • Under the Menu Selection heading, select your chosen menu from the drop-down menu.
  • Select the Serve Based method. 
  • Enter a Start Date and End Date.
  • Enter in a Buffer percentage, if desired.  For example, 20%.
  • Enter in the estimated Daily Quantity for each menu choice.  The buffer percentage will be shown within the yellow highlighted column.
  • Once all servings are entered for all meal services, click Display Shopping List.
  • Click Generate Report or Export to CSV, as desired.

Percentage: 

The Percentage option is very similar to Serve Based, although an estimated percentage is used, rather than a quantity.

A percentage for error (Buffer) can also be selected, providing peace of mind that enough ingredients will be ordered.


To generate your Percentage Shopping List:

  • Access Shopping List by following the steps above.
  • Under the Menu Selection heading, select your chosen menu from the drop-down menu.
  • Select the Percentage Based method. 
  • Enter a Start Date and End Date.
  • Enter in a Buffer percentage, if desired.  For example, 10%:
  • Enter in the percentage of serves needed within the Daily Quantity column for each menu choice. The buffer percentage will be shown within the yellow highlighted column.
  • Once all percentages are entered for all meal services, select Display Shopping List. 
  • Click Generate Report or Export to CSV, as desired.
